After you give

What your donation receipt and reference code mean

What you see on screen, what arrives by email, and what to do if something looks off.

The short answer

Two stages: a gift summary first, an official receipt second

When you finish a gift on the giving page you first see a gift summary. It is marked as pending until the team confirms the money arrived. Once the gift is confirmed, you receive an official donation receipt by email, and the screen version changes to match. The reference code that ties the two together is the short code you put in the memo or note of your payment.

Nothing about this depends on the size of the gift. A $25 gift and a $500 gift move through the same two stages.

What is on it

The lines on your receipt

The receipt lists the details that make it usable as a record. These are the lines, in the order they appear:

  • Donor, your first and last name as you entered them.
  • Address, the mailing address you gave in the second step of the giving flow.
  • Amount, the dollar amount of the gift.
  • Method, such as Zelle, card, PayPal or Cash App.
  • Date, the day the gift was started.
  • Organization, Making Heaven Crowded with its EIN, 42-2985750.
  • Reference code, shown at the top right of the receipt.

Below the lines, the receipt states that Making Heaven Crowded is a tax-exempt organization under section 501(c)(3) and that no goods or services were provided in exchange for the contribution. That second statement is the wording the IRS expects on a written acknowledgment, which the page on whether gifts are tax-deductible explains in more detail.

The reference code

Why the memo line matters

Card and PayPal checkout identify the donor on their own, so for those methods no code is needed. For the manual methods — Zelle, Cash App and a mailed check — the donor’s bank or app tells us an amount and a sender, but not which gift on the website it belongs to. The reference code in your memo is how a person on the team connects the two.

The practical advice is the same each time: copy the code from the screen, not from memory, and paste it into the note. The guide to giving by Zelle shows exactly where that goes in a banking app.

Timing

How long a pending gift stays pending

For card payments the screen says your payment is processing. For manual methods the screen says the team will match your gift as soon as it lands, usually within a day. When that happens your official receipt is emailed to the address you entered, and if you open the page again it shows the official wording instead of “pending.”

Weekends and bank delays can stretch the wait, because a transfer between banks is not always instant. A few days with no email is the point to check, not a few hours.

If something is wrong

What to do when the receipt is missing or has a mistake

  1. Check your spam or promotions folder for a message with the subject “Your donation receipt.”
  2. Confirm that the email address you entered on the giving page was typed correctly.
  3. Write to Makingheavencrowdedtampa@gmail.com or call (941) 718-2867 and give your reference code, the amount and the date.
  4. If your name or address on the receipt has a typo, say so in the same message and ask for a corrected one.

Having the code ready makes the request quick. Without it, the team can still search by name, amount and date, but it takes longer.

Keeping your records

Save the receipt where you will find it in April

The gift summary screen has a print button, so you can print the page or save it as a PDF. Do that for any gift you may want to deduct, and keep the emailed receipt with your other tax papers. The IRS requires a written acknowledgment for a single gift of $250 or more, and a bank statement is generally enough on its own for smaller gifts. If you give every month, the guide to giving monthly explains how the receipts line up with a repeating gift.

This is general information, not tax advice, and a tax preparer is the right person for your own situation.

Questions

Receipts and reference codes

When do I get a receipt for my gift to Making Heaven Crowded?
After the team confirms the gift. Card payments show as processing, and manual methods like Zelle are matched as soon as the money lands, usually within a day. The official receipt is then emailed to the address you entered.
What is the reference code on my donation?
A short code created when you begin a gift on the giving page. Put it in the memo or note of your payment so the team can match the gift to your name. It also appears at the top of your receipt.
What information is on the receipt?
Your name and mailing address, the amount, the payment method, the date, the organization name with its EIN, and the reference code. It also states 501(c)(3) status and that no goods or services were provided in exchange for the contribution.
My gift still says pending. Is something wrong?
Not necessarily. Pending means the team has not yet matched the money to your gift. Manual methods are usually matched within a day, and a transfer between banks can take longer. If several days pass, email Makingheavencrowdedtampa@gmail.com with your reference code.
The name or address on my receipt is wrong. Can it be fixed?
Yes. Email Makingheavencrowdedtampa@gmail.com or call (941) 718-2867 with your reference code and the correction, and ask for a corrected receipt.
Do I need a receipt to deduct a smaller gift?
The IRS requires a written acknowledgment only for a single gift of $250 or more. For smaller gifts a bank or card statement showing the amount and the organization is generally enough. This is general information, not tax advice.
